We're seeking a dedicated Executive Assistant to be the backbone of our organization, providing essential administrative and strategic support to our Board of Directors and President. This critical part-time role offers a unique opportunity to play a pivotal part in advancing and supporting naturopathic medicine in Connecticut, ensuring the smooth operation and continued growth of our vibrant community.
What You'll Do
As our Executive Assistant, you'll be the central hub of CNPA's operations, managing a diverse range of responsibilities that keep our association thriving:
- Be Our Front Line: You'll be the first point of contact for all inquiries, expertly managing communications via phone and email, and resolving member issues with a calm and helpful demeanor.
- Empower Our Leadership: Provide direct, comprehensive support to the CNPA President and Board, including weekly priority setting, drafting official correspondence, reports, and ensuring all ethics, tax, and business filings are meticulously handled. You will also maintain correspondence with our accountant as required.
- Keep Us Connected: Maintain and update our digital presence, including the CNPA website, classifieds portal, and membership database, ensuring our information is always current and accessible.
- Marketing: You’ll also work closely with our social media team to ensure posts are accurate, on brand, and timely.
- Drive Our Campaigns: Lend crucial administrative support to public relations, legislative initiatives, and membership drives, helping us amplify our voice and grow our community.
- Master of Meetings & Records: Organize and manage records for board meetings, maintain our Google Calendar, and diligently preserve institutional knowledge and historical records, ensuring seamless transitions and continuity.
- The Go-Between: Act as a vital liaison between the Board, members, the naturopathic community, the press, and key external bodies like the Connecticut Board of Naturopathic Examiners and the American Association of Naturopathic Physicians.
- Strengthen Our Governance: Manage yearly board member elections, oversee onboarding, and maintain board member contracts to support continuity and effective leadership.
- Champion Our Partnerships: Manage corporate sponsorships by soliciting and responding to opportunities, nurturing relationships, and ensuring mutually beneficial collaborations.
What You'll Bring
- Proven Experience: Track record as an Executive Assistant or in a similar administrative role
- Organizational Prowess: Exceptional organizational and time management skills, with a keen eye for detail and the ability to efficiently juggle multiple priorities
- Communication Excellence: Strong written and verbal communication skills, enabling you to draft clear, concise, and professional correspondence
- Tech Savvy: Proficiency in Google Workspace (Gmail, Drive, Calendar, Docs, Sheets, etc.) and experience with website and database management, and various social media platforms. We currently use WildApricot for membership and event ticketing. Social Media experience
- Independent & Collaborative: The ability to work autonomously, taking initiative and ownership, while also being a strong team player who collaborates effectively.
- A Passion for Naturopathic Medicine: A genuine interest in and commitment to the principles and mission of naturopathic medicine is essential.
Ideally, you’ll also have:
- Experience working with non-profits and boards
- Familiarity with legislative or advocacy work, particularly in healthcare or professional associations
- Skills in sponsorship outreach, sales, or donor relations, with the ability to secure and upgrade sponsorships
Projected Schedule
This is a flexible, part-time role, averaging 7-8 hours per week. Your time will be allocated across customer service, meeting attendance, communication and graphic design, website/database maintenance, and committee support.
